Administrative Coordinator Position Announcement

The Friends of Woodfords Corner (FWC) seeks a skilled communicator and detail-oriented administrator to serve as the organization’s Administrative Coordinator. The Administrative Coordinator works closely with a very hands-on board of directors, volunteer committees, and graduate assistants in support of the organization’s economic vitality, design, promotion, and organization initiatives.

Friends of Woodfords Corner is an independent nonprofit organization whose mission is to preserve the diversity and unique history of Woodfords Corner and foster a thriving, welcoming, and sustainable village hub. As an affiliate of Main Street America, FWC applies the national  organization’s transformation approach to Portland’s Woodfords Corner commercial district. FWC’s core work consists of advocating for better infrastructure and design, leading green and clean initiatives, organizing community gatherings and celebrations, developing enhancements that complement the Corner’s current economic make-up, and promoting all things Woodfords Corner. 

The Administrative Coordinator is an up-to-10-hours/week contracted position, and is responsible for all administrative operations for the organization, maintaining FWC’s website and digital communications channels, and carrying out work that supports FWC initiatives and events. The ideal candidate will have a passion for community building, teamwork, and working with volunteers; be well-versed in contemporary office digital tools; and have a can-do attitude and good sense of humor. As FWC continues to grow, the Administrative Coordinator will have opportunities to expand their role and hours.

The ideal candidate will bring the following:

  • Thorough, detail-oriented, and highly organized work style

  • Strong communication skills, both written and verbal. Experience with digital communications writing is a plus

  • Creativity and an entrepreneurial spirit with a desire to learn new things and improve systems

  • Flexible team player and ability to be an independent self-starter

  • Customer service sensibility and/or volunteer management experience

  • Well-versed in contemporary office digital tools and strong propensity for learning new technologies; experience with MailChimp, Google Suite, Canva, Squarespace, Facebook, Instagram, Zoom, and nonprofit CRMs (Little Green Light) preferred 

  • Small- and large-scale event coordination experience

  • Advanced time management skills; experience juggling numerous projects and timelines with little need for supervision

  • Patience and a good sense of humor


The Administrative Coordinator has the following responsibilities/duties:

  • Manage all FWC public communications and publicize FWC happenings

    • Monitor and respond to FWC emails and social media inquiries

    • Maintain and update FWC website and associated applications

    • Build and publish monthly e-newsletter

    • Engage FWC audiences through regular social media posts, calls to action, and event promotion

    • Manage blog content and generate blog content as needed. 

    • Promote FWC events via community calendars, press releases, etc.

  • Support the FWC Board of Directors

    • Maintain organization within the FWC Google Drive and Board Portal

    • Create and distribute board meeting materials

    • Participate in monthly board meetings and record meeting minutes

    • Assist board members and committees as requested

  • Organizational Management

    • Manage volunteer inquiries and time tracking

    • Ensure office supplies and equipment are maintained

    • Manage donor database (Little Green Light), record donations, and process donor acknowledgements

    • Track and ensure fulfillment of event/organizational sponsor deliverables

    • Maintain documentation for annual reporting as required grantors, partners, and the State of Maine

  • Event Management

    • In collaboration with board members and volunteers, develop and execute event plans for major FWC events

    • Manage communications with event volunteers and vendors

    • Widely promote all FWC events – large community events, meetings, workshops, work sessions, and more!

Hours: up to 10 hours/week (average). Flexible timing, but need for availability to meet and work with team members on Thursdays. Occasional evening and weekend hours required.

Location: Portland, ME – The Administrative Coordinator will have a hybrid work schedule, and must reside in the Portland area in order to conduct in-person work sessions with board members and coordinate events and meetings.

Compensation: $22-25/hour, commensurate with skills and experience
